Security and data

How Accord handles your data

Each workspace is separate and only its members can see it; a client link opens one sent version of one proposal. Data is hosted with Render in the United States, CRM access tokens are encrypted, and customer data isn't shared with other New Odyssey products or used to train AI models.

What Accord holds

  • Account details: email address, name if added, and the sign-up source.
  • Workspace: settings, branding, price list, templates and clauses.
  • Proposals: drafts, the notes they were drafted from, every sent version, client links, comments and follow-ups.
  • Clients' activity on proposal links: opens, the confirmed email, time on each section, comments, chosen extras and approval or decline records.
  • E-signature records and signed PDFs, payment request statuses and the CRM ids of synced deals.
  • Call transcripts with speaker names, if call recording is switched on. Audio and video are not kept by Accord.
  • Billing: plan and subscription status. Card details are held by Stripe.

How long it’s kept, and how to export or delete it

Call transcripts are deleted after the workspace's retention period (90 days unless changed), and Recall.ai deletes its recording once the transcript is saved, within 3 days at most. Deleting a proposal or the workspace takes effect immediately; Render's backups expire on its standard schedule. Exports stay available after you cancel, until you delete the workspace.

The full detail is in Accord’s data export and deletion policy.

Who processes it

Service providers (subprocessors), each on our instructions and only for the purpose shown:

  • Render: hosting, databases and backups, in the United States.
  • Stripe: subscription and license payments (card details go to Stripe, never to us).
  • Resend: sending email.
  • Anthropic: drafting proposals, statements of work and pricing suggestions.
  • OpenAI: matching what your notes ask for to your price list.
  • Recall.ai: joining your calls as a notetaker and writing transcripts, only when you send the Accord notetaker to a call.
  • Dropbox Sign: e-signature requests, only when you send a document to sign.

Questions and security reports

Accord is run by New Odyssey. To ask what we hold about you, to have it exported or deleted, or to report a security problem, email clio@new-odyssey.com. The privacy policy covers the rest.

Questions buyers ask

Who can see my proposals and my clients' details in Accord?

Only your Accord workspace and the clients you send links to. Each link opens one sent version of one proposal, private links need an emailed code, and you can switch any link off. Accord doesn't share your data with other New Odyssey products or use it to train AI models. You can export or delete everything.
